Privacy Policy

Version 2.0

Effective date: 30 October 2026

Who is responsible for your information

OrbitsHub Technology Private Limited (“OrbitsHub”, “we”, “us” or “our”) operates orbitshub.com. This policy explains how we handle personal information when you use this website, contact us about our services, or submit a privacy or copyright request. For these activities, OrbitsHub determines why and how the information is used.

Contact us at info@orbitshub.com. Our correspondence address is Plot No 21, Industrial Estate, Perungudi, Chennai 600096, India.

This policy does not replace a client’s privacy notice or a separate agreement governing information we process on that client’s behalf.

Information collected through this website

When you send an enquiry, we receive the information you provide, including your name, work email, telephone number, business name, role, enquiry reason, project details and subsequent correspondence. A privacy or copyright request may also include details of your rights, the affected material and supporting documents you provide. Fields marked as required must be completed to use the form. You can instead contact us by email, although we may need further information to respond.

Our website and its service providers also process technical information such as IP address, browser and device details, pages visited, referring pages, visit times and interactions with the website. The information collected depends on the service and your browser or privacy settings.

Provide a high-level description of your requirements. Please do not submit passwords, payment-card details, health information, classified material, export-controlled technical data or confidential operational records through the ordinary website form. Contact us first to arrange a suitable exchange method.

Why we use information

  • To read and respond to your enquiry, discuss requirements and prepare requested proposals.
  • To manage the business relationship and related correspondence if discussions continue.
  • To operate the website, identify faults, protect it from misuse and assess how its pages are used.
  • To assess privacy or copyright requests, meet applicable legal obligations and establish, exercise or defend legal claims.

Submitting an enquiry is not consent to unrelated marketing. If you request promotional communications separately, you may withdraw that request by contacting us or using any unsubscribe option included in the message.

Legal grounds where European or UK data-protection law applies

For business enquiries and website security, we rely on our legitimate interests in communicating with prospective clients and operating a secure business website, subject to the rights of the people concerned. Where you personally request steps toward a contract or are a party to a contract, the relevant processing may instead be necessary for that purpose. We rely on applicable legal obligations when retaining or disclosing information that the law requires.

Where consent is required for optional analytics or promotional communications, that processing must be based on your choice. You may withdraw consent without affecting processing that was lawful before withdrawal.

Website services and recipients

Our contact form uses Formidable Forms within WordPress. Submissions are recorded in the website system and an email notification is generated. People handling your enquiry may therefore access both the form record and the related correspondence.

We use WordPress.com and Jetpack services provided by Automattic for website functions and statistics, and Google Analytics for website measurement. Hosting, email and other providers involved in operating these services process information needed to provide their functions. Google and Automattic publish further information about their processing in the provider links below.

We may also disclose relevant information to professional advisers or authorities when necessary for legal advice, a legal obligation or a legal claim. Enquiries are used for the purposes set out in this policy.

International handling

OrbitsHub operates from India. Your enquiry may be handled in India, and website providers may process technical information in other countries where they operate. Those countries may have different data-protection laws. You can ask us at info@orbitshub.com for details of the countries and safeguards relevant to your information.

Where a transfer is subject to European or UK restrictions, an appropriate legal transfer mechanism is required. This policy does not itself authorise a transfer or replace the arrangements required with the recipient.

How long information is kept

We keep enquiry information while responding to your request and while a related business discussion or engagement remains active. After that, we assess whether the information is still needed for an identified contractual, accounting, legal or dispute-related purpose. Records without a continuing purpose are deleted or anonymised.

Retention decisions consider the nature of the enquiry, the last meaningful contact, whether a project resulted, applicable record-keeping requirements and any current dispute. Dormant enquiry records are reviewed at least annually. This review covers both form entries and associated email records.

Cookie expiry and provider retention are different from enquiry retention. See the Cookie Policy and the relevant provider information for those services.

Security and handling requests

No online service or email system can guarantee complete security. Please use the enquiry form for an initial description of your needs and contact us before exchanging sensitive project material.

Send a privacy request to info@orbitshub.com with the subject “Privacy request”. Tell us which information or interaction your request concerns. We may need proportionate information to verify your identity before disclosing or changing a record. Please do not send identity documents unless we explain why they are necessary.

Your rights and choices

Depending on the law that applies, you may have rights to access or receive a copy of your information, correct it, request deletion, restrict processing, object to processing based on legitimate interests, or receive certain information in a portable format. Consent can be withdrawn where it is the basis for processing. These rights have conditions and exceptions; a deletion request does not require removal of a record that must lawfully be retained.

We will respond within the period required by applicable law. If we cannot fulfil a request, we will explain the reason and any available review or appeal route. You can complain to the relevant supervisory authority, including your local data-protection authority in the European Economic Area or the Information Commissioner’s Office in the United Kingdom. Applicable US state privacy rights may include access, correction, deletion, portability and rights relating to sale, targeted advertising or certain profiling. Those rights depend on the law’s scope and the processing involved.

You can ask us to stop optional promotional messages at any time. Necessary replies about an enquiry, active agreement or legal matter may still be sent.

Children, other websites and updates

This website is directed at people seeking services for businesses and organisations, not at children. If you believe a child has provided personal information through it, contact us so that we can assess and address the record.

External websites have their own policies. We will update this notice when the website or our handling of information changes and identify the current version by its effective date.
