Version 1.2.1

Aug 1, 2026

This privacy policy explains how OrbitsHub (“OrbitsHub”, “we”, “us”) collects, uses, shares, and protects personal data when you visit orbitshub.com, contact us, or use our services, and the rights you have over your information. By using this website you acknowledge the practices described in this policy. If you do not agree with this policy, please do not use the website.

1. Who is responsible for your data

OrbitsHub is the controller of personal data collected through orbitshub.com. For any question about this policy or about your personal data, contact us at info@orbitshub.com. We operate from offices in Houston and New York in the United States and Chennai in India, and this policy applies to data collected through this website regardless of where you access it from.

2. The data we collect

We collect data you give us directly: when you submit a contact or project inquiry form we collect your name, work email address, phone number if provided, company name, role if provided, and the details of your inquiry. When you correspond with us by email or phone we collect the contents of that correspondence. When you apply for a role we collect the information in your application.

We also collect data automatically when you use the website: your IP address, browser type and version, device and operating system information, the pages you visit, how long you stay, the site that referred you, and similar analytics data collected through cookies and comparable technologies. Our cookie policy describes these technologies and your choices in detail.

We may also process business contact information obtained from publicly available professional sources, such as a company website or professional networking profile, where we have a legitimate business reason to contact your organization.

3. How we use your data and why we are allowed to

We use personal data for the following purposes, and where the General Data Protection Regulation (GDPR) applies, we rely on the legal bases stated: to respond to your inquiries and provide the information or proposals you request, because this is necessary to take steps at your request before entering a contract; to deliver our services and manage client relationships, because this is necessary for the performance of a contract; to operate, analyze, and improve the website and our services, including understanding how visitors use the site, based on our legitimate interest in running and improving our business, and on your consent where required for analytics cookies; to send business communications about our services to professional contacts, based on our legitimate interest in marketing our services to businesses, or on your consent where required, and you can opt out of these communications at any time; to protect the security of the website and our systems and to prevent fraud and abuse, based on our legitimate interests; and to comply with legal obligations that apply to us, including tax, accounting, and lawful requests from authorities.

We do not sell personal data, and we do not use it for automated decision-making that produces legal or similarly significant effects about you.

4. Who we share data with

We share personal data only where needed: with service providers who process data on our behalf, such as website hosting, analytics, email, form processing, and customer relationship management providers, under contracts that restrict their use of the data; with professional advisers such as lawyers, accountants, and insurers where necessary; with authorities, regulators, or courts where the law requires it; and with a successor entity in the event of a merger, acquisition, or sale of assets, in which case this policy would continue to apply to your data. We do not sell or rent personal data to third parties.

5. International transfers

Because we operate from the United States and India, personal data collected through this website may be transferred to and processed in countries other than your own. Where data protected by the GDPR is transferred outside the European Economic Area, we rely on appropriate safeguards, including standard contractual clauses approved by the European Commission, and we take measures to ensure the data receives an adequate level of protection wherever it is processed.

6. How long we keep data

We keep personal data only as long as necessary for the purposes described in this policy: inquiry and correspondence data for as long as needed to handle the inquiry and any business relationship that follows, client data for the duration of the engagement and any period required afterward, and data subject to statutory retention obligations, such as accounting records, for the period the law requires. When data is no longer needed it is deleted or anonymized.

7. Your rights

Where the GDPR or similar laws apply to you, you have the right to request access to the personal data we hold about you, to have inaccurate data corrected, to have your data erased, to restrict or object to our processing, to receive your data in a portable format, and to withdraw consent at any time where processing is based on consent, without affecting the lawfulness of processing before withdrawal. You also have the right to object at any time to the use of your data for direct marketing, and we will stop that use immediately.

To exercise any of these rights, email info@orbitshub.com. We respond to data protection requests within the timeframes required by applicable law, generally within one month of receiving the request, and we may ask for information to verify your identity before acting on it. Exercising your rights is free of charge except where the law allows a fee for manifestly unfounded or excessive requests. If you believe our processing of your data infringes data protection law, you have the right to lodge a complaint with a supervisory authority, in particular in the country of your residence, place of work, or the place of the alleged infringement.

8. Security

We apply technical and organizational measures appropriate to the risk to protect personal data against unauthorized access, alteration, disclosure, and destruction, including access controls, encryption in transit, and restrictions on who within our team can access personal data. No transmission over the internet is completely secure, and we cannot guarantee absolute security, but we review and improve our measures on an ongoing basis.

9. Children

This website and our services are directed at businesses and professionals. We do not knowingly collect personal data from children under 16, and if we learn that we have done so, we will delete it.

10. Third-party links

The website contains links to external sites, including standards organizations and professional resources. We are not responsible for the privacy practices of those sites, and this policy does not apply to them. Review the privacy policy of any site you visit through a link from ours.

11. Changes to this policy

We update this policy when our practices or legal obligations change. The current version is always published on this page with its last updated date, and material changes will be highlighted here. Continued use of the website after a change takes effect constitutes acknowledgment of the updated policy.

12. Contact

For any question, request, or concern about this policy or your personal data, contact info@orbitshub.com. Please include enough detail for us to identify your data and understand your request.
